Use this list to keep control, reduce downtime, and avoid costly mistakes.
For anything marked (Mcorp), we can handle it end‑to‑end.
1) Ownership & dates
- Appoint a project lead (and a backup). Give them decision authority.
- Lock key dates: move window, building access, lift bookings, loading zones, security passes.
Need an experienced partner to run the move? Engage Mcorp’s Office Relocation team to project‑manage everything end‑to‑end. (Mcorp)
2) Scope the move
- Walk both sites: With a Mcorp team member, note access limits, long carries, stairs, ceiling heights, and truck clearances.
- Map the new floor plan: number workpoints/rooms; this drives labels and crate counts. (Mcorp can create and manage the numbering system.)
- Inventory: furniture, IT (docks, monitors, peripherals), meeting rooms, printers, storage, compactus, and safes.
3) Trades & building services
- Line up contractors needed at the new site: electricians, data/cabling, AV, access control, security, cleaners, signage.
- Coordinate dates so services are live before people arrive.
- Prefer a single point of coordination? Mcorp can schedule and manage all trades as part of the relocation plan. (Mcorp)
4) Staff comms & packing
- Issue a change plan: move dates, what to pack/not pack, who to ask for help.
- Provide a packing guide: crate limits, desk kits for cables/docks, and fragile rules. (Mcorp can supply crates, labels and guides.)
- Department champions: Nominate a contact on each floor/area for quick decisions.
5) Labelling that saves hours
- Label to the destination (use the new floor‑plan numbers—never “old desk”).
- Tag items for outcome: KEEP / RELOCATE / RECYCLE / SECURE DESTRUCTION.
- Separate high‑value/chain‑of‑custody items for tracked and secure handling.
We supply and manage the labelling system and chain‑of‑custody for sensitive items. (Mcorp)
6) Printers, photocopiers & leases
- Check the contract before you move them—some leases prohibit relocation or require vendor attendance. Get written approval and instructions.
7) Dangerous goods & specialist items
- Decommission anything hazardous (gases, chemicals, UPS batteries, fuel, cleaners).
- Book certified disposal where required; keep certificates.
Mcorp arranges compliant decommissioning and certified e‑waste/secure destruction so you stay audit‑ready. (Mcorp)
8) IT cutover (what actually prevents downtime)
- Backups done and verified.
- Device lists: docking stations, monitors, phones, printers, room tech.
- Server/network plan: de‑rack/re‑rack, cabling, power and port tests, Wi‑Fi/SSID details.
- Test scripts for logins, printing and conference rooms.
Mcorp handles disconnect/reconnect, rack moves, cable‑mapping and testing, including deskside setup for docks, screens and peripherals. (Mcorp)
9) Makegood & hand‑back (avoid bond surprises)
- Read your lease: list makegood requirements (repairs, patch/paint, flooring, cleaning, decommissioning).
- Book a pre‑inspection with the landlord and agree the scope in writing.
- Schedule makegood to start as areas empty—don’t leave it all to the end.
